Bulk linking
Link multiple PDFs to many resources at once to save time.
What bulk linking does​
Bulk linking lets you connect PDFs to resources in one operation instead of linking them one by one.
Two types of bulk linking​
Many PDFs to one resource - Add multiple PDFs to a single product, page, or collection
One PDF to many resources - Share one PDF across multiple products, pages, or collections
Link many PDFs to one resource​
Attach multiple PDFs to a single page:
- From your PDF library, select multiple PDFs using checkboxes
- Click Bulk Actions at the top
- Choose Link to Resource
- Select the resource type
- Search for and select the specific resource
- Click Link All
All selected PDFs link to that resource at once.
Example: Add size chart, care guide, and warranty PDFs to one product
Link one PDF to many resources​
Share a PDF across multiple pages:
- From your PDF library, click a single PDF
- Click Bulk Link to Resources
- Select the resource type (products, pages, etc.)
- Select multiple resources using checkboxes
- Click Link to Selected
The PDF links to all selected resources simultaneously.
Example: Link return policy PDF to all products
Filter resources before bulk linking​
Use filters to find resources quickly:
- Filter by product type, vendor, or tags
- Filter collections by type
- Search by name
- Sort by date or alphabetically
This helps you select the right resources for bulk operations.
Preview before linking​
Before confirming bulk operations:
- Review how many PDFs you selected
- Check how many resources you're linking to
- See the total number of links that will be created
- Confirm or cancel
Bulk linking limits​
You can bulk link:
- Up to 50 PDFs at once
- To up to 100 resources at once
- Creating up to 5,000 links per operation
Larger operations process in the background.
Undo bulk linking​
If you link incorrectly, you can undo:
- Use bulk unlink to remove all links at once
- Or unlink individually from each resource
- No time limit on unlinking
Tips for efficient bulk linking​
Plan first - Know which PDFs go where before starting
Use filters - Narrow down resources before selecting
Test with small batch - Try linking to 2-3 items first
Name PDFs clearly - Makes selection easier
Check preview - Always review before confirming
Common bulk linking scenarios​
Scenario 1: Product line launch
- Upload all product PDFs
- Bulk link manuals to corresponding products
- Activate all PDFs at once
Scenario 2: Seasonal catalog
- Upload catalog PDF
- Bulk link to entire product collection
- Set template filter if needed
Scenario 3: Policy updates
- Upload new policy PDF
- Bulk link to all products or pages
- Deactivate old policy PDF
Background processing​
Large bulk operations run in the background:
- You see a progress indicator
- Continue working while links are created
- Get notification when complete
- Links appear in your library automatically
