Usage limits

Understand how plan limits work and what happens when you reach them.

How limits work​

Your plan determines how many PDFs you can store in your library:

  • Free: 3 PDFs total
  • Basic: 10 PDFs total
  • Standard: 30 PDFs total
  • Unlimited: No limit

Limits count all PDFs (active + inactive) combined.

What counts toward your limit​

Counts toward limit:

  • Active PDFs
  • Inactive PDFs
  • Linked PDFs
  • Unlinked PDFs

Doesn't count toward limit:

  • Number of links (unlimited per PDF)
  • Number of resources you link to
  • Number of pages displaying PDFs
  • File size (within reasonable limits)

Check your current usage​

View your usage in your dashboard:

  1. From your admin, go to Apps > PDF Connect
  2. See usage widget showing "X of Y PDFs used"
  3. Bar shows percentage of limit used

Updates in real-time as you add or remove PDFs.

What happens at your limit​

When you reach your plan limit:

You can't upload more PDFs

  • Upload button shows "Limit reached"
  • Message explains you're at your plan limit
  • Options to delete PDFs or upgrade

Current PDFs work normally

  • All existing PDFs stay active
  • Links remain functional
  • Customers see PDFs as usual
  • No disruption to your store

Free up space​

To upload more PDFs without upgrading:

  1. Review your PDF library
  2. Delete PDFs you no longer need
  3. Remove duplicate files
  4. Deactivate vs delete (deactivated PDFs still count)

Deleting one PDF lets you upload one new PDF.

Soft limit warning​

You get a warning at 80% of your limit:

  • Notification in your dashboard
  • Email reminder (if enabled)
  • Suggests reviewing library or upgrading

This helps you plan before hitting your limit.

Downgrade to smaller plan​

If you downgrade to a plan with fewer PDFs:

During current billing period:

  • Keep all PDFs (even over new limit)
  • Everything works normally
  • No immediate changes

Next billing period:

  • Must reduce to new limit before period starts
  • App prompts you to delete excess PDFs
  • Or upgrade back to accommodate all PDFs

No limit on links:

  • Link one PDF to unlimited resources
  • Link unlimited PDFs to one resource
  • Create as many connections as you need

Links are free and unlimited on all plans.

File size limits​

Individual PDF file size limits:

  • Recommended: Under 5MB
  • Maximum: 10MB per file
  • Total storage: Unlimited (within reasonable use)

Large files may upload slowly and display slower for customers.

Tips to stay within limits​

Be selective:

  • Upload only PDFs customers actually need
  • Combine related content into single PDFs
  • Remove outdated or unused files regularly

Reuse PDFs:

  • Link one PDF to many resources instead of uploading copies
  • Shared size charts, policies, and guides

Regular cleanup:

  • Review library monthly
  • Delete outdated PDFs
  • Replace instead of adding new versions

Monitor usage:

  • Check dashboard regularly
  • Plan upgrades before hitting limit
  • Use warnings to trigger reviews
