Search and filters

Find PDFs and resources quickly with built-in search and filtering tools.

Search your PDFs​

Find PDFs in your library by name:

  1. Click the search field at the top of your library
  2. Type part of the PDF file name
  3. Results filter automatically as you type
  4. Click a PDF to view or manage it

Search matches any part of the file name.

Filter PDFs by status​

View only active or inactive PDFs:

  1. Click the Status filter dropdown
  2. Select Active, Inactive, or All
  3. Your library updates instantly

Use this to review which PDFs are currently visible to customers.

Search resources when linking​

Find products, collections, or pages quickly when linking:

  1. Start linking a PDF
  2. Select resource type (products, collections, etc.)
  3. Type in the search field
  4. Results appear as you type
  5. Click to select

Filter resources by type​

When bulk linking, filter resources:

Products:

  • Filter by product type
  • Filter by vendor
  • Filter by tags
  • Filter by collection

Collections:

  • Filter by collection type
  • Filter by availability

Pages:

  • Filter by template
  • Filter by published status

Sort your library​

Sort PDFs by:

  • Name - Alphabetical (A-Z or Z-A)
  • Date uploaded - Newest or oldest first
  • Status - Active first or inactive first
  • Number of links - Most linked first

Click column headers to change sort direction.

Advanced search tips​

Use partial names

  • Type "manual" to find all manuals
  • Type "2024" to find current year docs

Search is case-insensitive

  • "SIZE" and "size" work the same

Search file names only

  • Search doesn't look inside PDF content
  • Name files clearly for easy finding

Combine filters​

Use multiple filters together:

  1. Filter by Status: Active
  2. Search for "size"
  3. See only active PDFs with "size" in the name

This helps you find exactly what you need.

Clear filters​

Remove all filters:

  • Click Clear filters button
  • Or refresh the page
  • Library returns to showing all PDFs

Search performance​

Search is instant:

  • Results appear as you type
  • No loading delays
  • Works with large PDF libraries
  • Filters update automatically

Tips for better searching​

Name PDFs consistently

  • Use patterns like "product-[name]-manual"
  • Include type in name: "size-chart-", "warranty-"
  • Add dates for versioned docs: "-2024"

Use tags (if available in your plan)

  • Tag PDFs by category
  • Filter by tags for quick access
  • Group related PDFs

Keep library organized

  • Delete unused PDFs
  • Deactivate seasonal content when not needed
  • Regular cleanup makes searching easier
